Jodhpur Division • Northern Western Railway Official Service Policy

1. Scope & Application Purpose

This Privacy Policy explains how the Railway Colony Door-to-Door Services Management System (referred to as "the System", "we", "us", or "our") collects, processes, maintains, and safeguards information provided by railway employees, quarter allottees, and resident family members residing within official railway colonies in the Jodhpur Division of the Northern Western Railway (NWR), Ministry of Railways, Government of India.

The application operates exclusively within two predefined railway jurisdiction areas:

  • IWB — Jodhpur Main Railway Station (including all residential quarters, colonies, and societies under the jurisdiction of the IWB Works Office).
  • IWD — Bhagat Ki Kothi (including all residential quarters, colonies, and staff societies under the jurisdiction of the IWD Works Office).

This platform facilitates scheduled door-to-door household maintenance services, including plumbing, electrical repairs, carpentry, masonry, painting, cleaning, AC maintenance, and related residential upkeep.

We collect only the minimum personal, residential, and operational data necessary to register residents, verify official quarter occupancy, dispatch maintenance technicians, and resolve service complaints:

Data Collected By The Application
  • Resident Identity & Account Details: Username, full name, mobile phone number, optional email address, and hashed authentication password.
  • Mobile Verification & OTP Records: One-Time Password (OTP) timestamps and verification flags used during mobile registration and login.
  • Railway Residential Address: Selected Railway Area (IWB or IWD), Colony / Society name, official Quarter / House number, Block / Street details, and additional landmark / address notes.
  • Service Complaints & Maintenance Logs: Selected service category (e.g., Plumber, Electrician, Carpenter, Painter, Mason, Cleaning, AC Repair, Other), detailed description of the maintenance issue, complaint reference number (e.g., CMP-...), submission timestamp, scheduled inspection notes, and complaint status history (Pending, On Process, Completed, Cancelled).
  • Cancellation & Administrative Remarks: Resident cancellation reason (if cancelled while pending), technician notes, and administrative resolution remarks.
  • Technical & Diagnostic Data: IP address, user agent, secure session identifiers, and Laravel Sanctum API tokens generated when logging into the mobile application or web portal.

To ensure resident privacy and avoid unnecessary data intake, our application adheres to strict data minimization. Based on the actual code and database architecture:

Data NEVER Collected By This System
  • NO Real-Time GPS Tracking: We do not track resident movements, background GPS locations, or geographic coordinates. Location is determined solely by the quarter number and colony selected by the resident.
  • NO Contact Book or Phonebook Access: The application does not read, upload, or sync your phone contacts or address book.
  • NO Unrestricted Camera or Photo Gallery Access: The application does not scan or upload your private gallery or media library.
  • NO Financial, Payment Card, or Banking Details: All routine quarter maintenance is managed departmentally. There is no integrated payment gateway, and we never collect debit/credit card numbers, UPI PINs, or bank account credentials.
  • NO Biometric Data: No fingerprint, facial recognition, or biometric parameters are gathered or stored.

We process resident information strictly for authorized administrative and maintenance purposes:

Account Administration

To register resident profiles, authenticate authorized quarter allottees, and manage secure sessions across devices.

Service Dispatch & Repairs

To route complaints to the appropriate railway area maintenance cell (IWB or IWD) and dispatch skilled technicians to the exact quarter.

Status Updates & Alerts

To notify residents when a technician is assigned, work is in progress, or maintenance has been completed.

Official Audit Trails

To maintain historical maintenance records of railway housing stock for structural upkeep, materials accounting, and departmental audits.

Resident data is treated as confidential government colony maintenance records. We share data only on a strictly authorized, need-to-know basis:

  • Authorized Railway Maintenance Staff: Assigned plumbers, electricians, carpenters, painters, and supervisory engineers (Junior Engineers / Section Engineers, Works) receive the resident's quarter number, problem description, and contact number solely to execute requested repairs.
  • Divisional Railway Administrators: Designated officers in the DRM Office, Jodhpur Division, who supervise maintenance performance and colony management.
  • Hosting & Technical Infrastructure Providers: Managed server and cloud hosting providers who supply computing infrastructure under strict data protection and non-disclosure obligations.
  • Legal & Regulatory Compliance: We may disclose information if required to comply with court orders, statutory law enforcement directives, or official Indian Railways inquiry proceedings.
Zero Commercial Sale Commitment: Under no circumstances is resident personal data sold, rented, leased, or traded to third-party marketing companies, data aggregators, or commercial advertisers.

We deploy standard security protocols to protect resident data from unauthorized access, alteration, or disclosure:

Bcrypt Password Hashing
Passwords are cryptographically salted and hashed before database storage.
Token-Based Authentication
Mobile APIs communicate via hashed Laravel Sanctum cryptographic bearer tokens.
Protected Infrastructure
Database access is isolated to authorized application processes behind firewalls.

Pragmatic Security Notice: While we employ rigorous and industry-recommended administrative and technical precautions, no system connected to the Internet can guarantee absolute 100% security against zero-day threats or unforeseen breaches. Residents are responsible for safeguarding their login passwords and mobile OTPs.

Resident profile details are retained for the duration of the resident's active residency in the railway colony or until an account deletion is requested.

Account Deletion Mechanism (Google Play Compliance)

Residents can initiate account deletion at any time through either of the following two pathways:

  1. In-App Deletion: Authenticated users can navigate to Profile & Settings → Delete Account which invokes the DELETE /api/user/account endpoint.
  2. Public Web Deletion Form: Any user can submit an online request directly via our publicly accessible web form at Railway Colony Account Deletion Portal without needing to install or sign in to the app.
What Happens Upon Account Deletion:
  • Your resident profile is deactivated and soft-deleted immediately.
  • All active API tokens and authentication sessions are permanently revoked.
  • Personal login access is closed; you can no longer sign in with your mobile number or password.
  • Government Audit Retention Exception: In accordance with Indian Railways public asset management and financial accounting standards, historical service complaint logs (e.g. date of plumbing repair, quarter number, materials used) are retained anonymously for structural maintenance records and cannot be purged from government records. These logs will no longer be linked to an active personal profile.

Under applicable Indian data protection principles, residents hold the following rights:

• Right to Access: View all complaints, quarter details, and profile data in the app.
• Right to Rectification: Edit name, email, or quarter details via profile settings.
• Right to Erasure / Deactivation: Request account deactivation through the in-app option or web form.
• Right to Grievance Redressal: Submit queries or concerns to the designated officer below.

The Railway Colony Door-to-Door Services application is an official utility intended exclusively for adult railway employees, allottees, and designated adult family representatives (aged 18 years or older) residing in railway quarters. We do not knowingly solicit, collect, or process personal data from children under the age of 18. If we discover that a minor has registered an independent account without guardian authorization, we will promptly deactivate the account upon verification.
